Refund policy
The EPA Section of Epidemiology & Social Psychiatry is an official Section of the main European Psychiatric Association. Under the conditions of EPA Section membership, we do not receive financial support from the EPA. We are also not permitted to operate as a separate financial entity. As such, our Section does not hold any operating budget to support the cost of our congresses, unlike many other academic societies or organisations.
We have a tradition of running our Section congresses on a breakeven basis, with the cost of running each congress met entirely from delegate fees and any sponsorship support. This allows us to keep congress fees as low as possible, and accessible to students, trainees, and people with lived experience.
As we emerge from the COVID-19 pandemic, we need to balance this traditional operating model against current global challenges that may affect the viability of running important academic meetings. To ensure the financial viability of running our 20th congress, we will implement the following cancellation policy:
- Cancellation before 30 Jun 2022 (inclusive): 75% of full amount
- Cancellation from 1 Jul 2022: No refund
This refund policy applies to the registration fee and all optional add-ons available during registration, including the congress fee, accommodation booked through us, and ticketed social activities. Donations made to our EPA Section bursary fund to help people with lived experience attend the congress will not be refunded. We are not responsible for refunding any other costs incurred by delegates, including accommodation booked via third parties, travel or subsistence costs. We recommend that delegates make sure they have suitable insurance in place to cover any financial risk associated with attending the congress.
Name changes
We allow changes to the named delegate on any registered and fully paid Congress ticket up to 48 hours before the start of the event (i.e. by 9am BST on Tuesday 5th September, 2022). Standard tickets are transferable to any other person, including students or trainees, but no difference in value will be refunded. Student/trainee places can only be changed to another student or trainee. Proof of student or trainee status will be required.
